Road Trip Club is part of Road Trip Co Limited, company number 13188808, Road Trip Co, 1 – 2 Warrior Court, Gosport, PO12 1BS, United Kingdom.
“Road Trip” means the organised driving tours arranged and planned by the Organiser.
“Organiser” means the Road Trip Club.
“Website” means the website of the Organiser, http://www.roadtripclub.co.uk.
“Participant” means any person participating in one of the Road Trips.
“Team” means a team of Participants taking part in any of our Road Trips.
“Club member” or “Member” means a current member of the Road Trip Club.
“Vehicles” means the vehicle chosen by Participants for any of our Road Trips.
“Booking” means the registration of a Team onto a Road Trip.
“Road Map” means the recommended route designed to be completed within the given time.
- Road Trips
1.1 Road Trips are planned by the Organiser for a group of registered Teams and Participants to complete on the specific dates given.
1.1.1 Road Trips refer to events over more than one day that stay in more than one destination.
1.1.2 Single Day events are classed as Driving Days (9).
1.2 The Organiser will supply route guidance given in the Road Map, accommodation for all Participants and any ferry crossings specified in the Road Map.
1.3 The Organiser plans Road Trips based on standard road cars and public roads. However, some roads will be more challenging than others and should be driven in a manner than suits the road and the road conditions.
1.4 The cost of the car, repairs or any maintenance, including fuel or breakdowns, are the responsibility of the Team.
1.5 The Organiser will explain all parts of the Road Trip in the Road Map but this should always be seen as guidance. Teams must obey road rules and be prepared to adapt their route if there is a road closure, although the Organiser will endeavour to warn you and adapt the route as soon as they become aware.
1.6 Teams do not have to follow any or all of the Road Map if they do not wish to but they do so at their own risk.
1.7 Road Trips are not a race and there is no competition element.
1.8 The Organiser will not be held liable for any additional cost or injury incurred while a Team is on one of its Road Trips.
2. Vehicles
2.1 The vehicle must be road legal with a valid MOT, tax and insurance.
2.2 The driving Participants must be fully and legally insured to drive their vehicle.
2.3 Vehicles must meet legal requirements for any countries the Team will drive it through.
2.4 The Organiser recommends purchasing breakdown cover that will be valid in the countries visited during the Road Trip.
2.5 Participants are responsible for any additional local tax that their vehicle may require.
2.5 The Organiser reserves the right to refuse participation of a Road Trip without a refund at any point before or during the rally if they believe the vehicles is illegal or unsafe.
3. Team eligibility
3.1 Unless stated otherwise, a Team for any Road Trip is made up of two driving Participants.
3.1.1 Any Team should include at least two Participants who comply with all of the eligibility listed below, and both should be legally allowed to drive the team’s vehicle for safety reasons.
3.1.2 The purpose of the Road Trips is to drive amazing roads and to incredible places, therefore any Team should be prepared for long drives as set out in their Road Map.
3.2 All participants must be more than 18 years of age and hold a valid full UK driving licence on the day the Road Trip begins.
3.3 All participants must hold the required passports, visas and international driving permits required to travel in any country listed in the Road Map when the Road Trip begins.
3.4 Driving participants must have valid car insurance for their vehicle at the time of the rally.
3.5 Participants must comply with laws within the country they are in at the time of the Road Trip. This includes but isn’t limited to following road rules for speed, direction, right of way, driving dangerously, drink driving or distracted driving.
3.5 The Organiser recommend all participants have valid travel insurance for the countries laid out in the Road Map for the duration of the Road Trip.
3.6 The Organiser recommend breakdown cover that is valid for the countries Participants will be driving in.
3.7 Participants should inform the Organiser of any medical issues or disabilities. The Organiser may advise against a particular trip or offer you an adapted route if they think that any part of the route will cause you issues, and will be able to book you appropriate accommodation.
3.6 The Organiser must be made aware of any changes to the Team before the Road Trip begins and Participants will be responsible for any additional costs incurred.
3.7 The Organisers reserves the right to cancel the booking at any time if the team eligibility is not met.
4. Bookings
4.1 When a Participant books onto a Road Trip they will complete a registration form on the website and agree that they have read the Terms & Conditions.
4.2 At the point of booking one Participant of the Team should be identified as the Team Leader and be authorised by other members to accept terms and conditions on their behalf.
4.3 The Organiser will communicate all required details with the Team Leader and shall bear no responsibility to communicate with all members of the Team separately.
4.4 On booking, the Participant completing the registration form confirms on behalf of all Team Participants that they fully understand the Terms & Conditions.
4.5 Each Participant is jointly and severally liable for the actions of their Team.
4.6 When the registration is complete and a deposit has been paid, the Participants and the Organiser enter into a binding contract.
4.7 If any of the details required to complete your booking are not supplied, including deposit payment, the Organisers reserve the right to cancel your booking.
4.8 The Organiser reserve the right to reject any booking at its discretion if it deems any requirements giving in the Terms and Conditions and/or Rules of the Road Trip are not met.
5. Payment
5.1 A Team will not be booked on any event until full payment has been made.
5.1.1 Full payment should be made by 90 days before an event unless agreed otherwise. If we have not received your full payment by this point and we have not been able to contact you, we may release your place on the Road Trip.
5.2 Full payment covers the cost of entry, hotel accommodation listed and any ferries included only. Any other associated costs are the sole responsibility of the Participants.
5.3 A payment plan can be issued on request depending on eligibility and the length of time before an event. Please contact the team for more details.
5.4 Should a Vehicle or Team not make it to part of the trip for any reason no refund will be given.
6. Road Trip Cancellations and Amendments
6.1 All cancellations must be submitted in writing to the Organiser and this will be recorded as the date of cancellation.
6.2 The cancellation must be submitted by the Team Leader, as set out in 4.2.
6.3 In the event that a Team cancels its booking:
6.3.1 Unless otherwise stated in the specific road trip policies, more than 90 days before departure all money paid is refundable less the non-refundable deposit.
6.3.2 Within 90 days of the trip, no refund is possible.
6.3.3 If a Team wishes to transfer the booking, this is possible but the Participants will be liable for any costs incurred in altering the booking, plus a £50 administration fee. The new Participants must meet the eligibility requirements laid out in section 3.
6.4 In the event that the Organiser is forced to cancel a Road Trip due to unforeseen circumstances, they will refund any money paid by the Participants in full. However, this will not include any other costs or expenses incurred elsewhere.
6.5 The Organiser reserves the right to cancel a Road Trip if the minimum number of Participants are not met to make the venture commercially viable.
6.5.1 In this case, any money paid by Participants will be refunded in full but the Organiser will not be liable for any other costs or expenses incurred.
6.5.2 To avoid cancelling a Road Trip the Organiser will first look to reduce costs, which may involve reducing any extra activities, changing hotels, reducing the distance or number of days.
6.6 The Organiser cannot be held responsible if the trip has to be cancelled due to force majeure. This includes, but is not limited to, natural and unavoidable catastrophe such as fire, explosions, earthquakes or floods, acts of war, rebellion, or terrorism. In this case, cancellation of the Road Trip or remainder of it will not be subject to a refund.
6.6 Teams will be notified of any major changes by email correspondence to the Team Leader.
7. Rules on Road Trips
7.1 The Road Map, any passes, name badges and stickers will be sent in advance once Participants have registered for a trip and paid their deposit.
7.2 While the Road Map is given as guidance to the route, any specific timings for transportation (including, but not limited to, car ferries or trains), check in for dinner or meal times need to be observed. If any Participant misses part or all of this they will not be refunded the cost.
7.3 Any activities, such as track driving, museums or experiences, are included in the cost of a Road Trip and will not be discounted or refunded if Participants choose to not attend.
7.3 The Road Map will take the Teams on a longer and more scenic route than satellite navigation will recommend, but if they don’t want to be on the road for that long they can choose a different and more direct route. The Organiser is not liable for where or how you drive on the Road Trip and you should always ensure that you are safe and legal when on the road.
7.4. The Road Trip Club team will be on hand to advise and support Teams on the Road Trip but will not be leading or instructing on where they should go.
7.5 In any case where Participants are deemed to be breaking the Organiser’s rules you the entire Team may be removed from the Road Trip and banned from any future events without a refund.
7.5.1 The Organiser will inform you if they believe you are being unsafe or illegal in your driving or behaviour on the trip.
7.5.2 The Organiser will not tolerate any abusive behaviour towards staff or any other Participants and your entire Team may be asked to leave the trip.
7.6 The Organiser will put on evening events but these are not compulsory. Participants are responsible for ensuring they are safe to drive the next day and are within legal limits for the country.
8. Membership
8.1 Road Trip Club membership is a subscription service and entitles a member to 12 months of benefits as set out below.
8.1.1 Navigators Club membership (costing £49 a year) gives the subscriber early bird access to trips, discounts on merchandise and a welcome pack. The contents of the welcome pack may change depending on availability of products and sizes.
8.1.2 Drivers Club membership (costing £99 a year) entitles the subscriber to that set out in 8.1.1 and a 10% discount on Road Trip bookings. This is limited to one discount per Road Trip but can be used any or all different Road Trips available over the 12 months as long as the Member meets the requirements set out in sections 3 and 4. This does no include any discount on purchases during a Road Trip and is exclusively for the package purchase.
8.2 The start date of the 12 month period, set out in 8.1, will be taken as the date that payment for membership is received.
8.3 Membership to the Road Trip Club does not guarantee a place on any Road Trip. Spaces are filled on a first come first served basis, although members are given early access.
8.4 Cancellation of membership
8.4.1 If you wish to cancel your membership within 14 days of purchase, you will be issued a refund in full as long as your membership pack has not yet been posted.
8.4.2 If you cancel after 14 days, or your membership pack has already been posted to you, you will be refunded the purchase price minus the cost of your membership pack.
8.4.3 If you cancel your membership after 30 days or after you have booked onto a Road Trip, no refund will be possible.
9. Driving Days
9.1 Driving Days are single day events with no accomodation included.
9.2 Tickets for driving days are sold per person and these individuals can make a Team in one Car.
9.3 If a Driving Day is free to attend for club members it will be detailed in the description and exactly what is included in the club package.
9.3.1 A club member is only eligible to attend if they have told Road Trip Club in advance and Road Trip Club cannot be held liable for any availability if they do not do so.
9.3.2 A club member can bring guests if they have been paid for in advance.
9.3.3 If a club member is unable to attend a free event they do not qualify for any compensation.
9.4 No refund will be available after an event if a ticket holder is unable to attend a Driving Day.
